How to Customize Invoice Templates

Create professional-looking invoices that reflect your clinic's brand with custom templates.

Accessing Template Settings

Go to Settings → Billing → Invoice Template.

Customization Options

Header Section

  • Clinic Logo — Upload your logo (recommended: 200x200px PNG)
  • Logo Position — Left, center, or right alignment
  • Clinic Name — Displayed prominently in the header
  • Address and Contact — Automatically pulled from clinic settings
  • Colors

  • Primary Color — Used for headers and accent elements (default: teal)
  • Text Color — Main body text color (default: dark gray)
  • Background — Page background color (default: white)
  • Content Sections

    Choose what to include on invoices:

  • Patient details (name, ID, contact)
  • Treatment itemization (line items with descriptions)
  • Tax breakdown
  • Discount line (if applicable)
  • Notes section
  • Payment terms
  • Payment Information

    Add your bank details for transfer payments:

  • Bank Name — e.g., "Access Bank"
  • Account Name — Your clinic's registered account name
  • Account Number — Your bank account number
  • Sort Code — If applicable
  • These details appear in the footer of every invoice.

    Footer

  • Custom footer text (e.g., "Thank you for choosing SmileCare Dental!")
  • Terms and conditions (e.g., "Payment is due upon receipt")
  • Refund policy statement
  • Previewing Changes

    Click Preview to see how your invoice will look with actual patient data. The preview uses a sample invoice so you can see the full layout.

    Saving and Applying

  • Make your changes
  • Click Preview to verify
  • Click Save Template
  • All new invoices will use the updated template
  • Existing invoices are not affected
  • Receipt Template

    The receipt template follows the same design as the invoice template but shows:

  • Payment confirmation instead of amount due
  • Payment method and reference number
  • "PAID" watermark
  • Configure separately at Settings → Billing → Receipt Template.
