How to Export Your Data

Your data belongs to you. MyDentalPractice makes it easy to export patient records, financial data, and reports in standard formats.

What You Can Export

Exporting Patient Records

  • Go to Settings → Data → Export
  • Select Patient Records
  • Choose which fields to include (or select all)
  • Apply filters (optional): date range, status, insurance
  • Click Export
  • A download link is sent to your email when the export is ready
  • For large exports (10,000+ records), processing may take a few minutes.

    Exporting Financial Data

  • Go to Analytics → Financial Reports
  • Generate the desired report
  • Click Export and choose format (PDF, CSV, or Excel)
  • The file downloads immediately
  • Individual Patient Export

    To export a single patient's complete record:

  • Open the patient profile
  • Click Export (top right)
  • Choose what to include:
  • - Personal information

    - Medical history

    - Clinical notes

    - Appointment history

    - Invoices and payments

    - Documents and X-rays

  • Choose format (PDF or ZIP with all files)
  • Click Generate Export
  • This is useful for patient transfer requests or records requests.

    Scheduled Backups

    Enterprise plan users can set up automated backups:

  • Go to Settings → Data → Backups
  • Toggle Automated Backups
  • Choose frequency: Daily, Weekly
  • Set the destination: Email or cloud storage
  • Backups are encrypted and password-protected
  • Data Retention After Account Deletion

    If you cancel your account:

  • You have 30 days to export all data
  • After 30 days, data is permanently deleted
  • We recommend exporting before cancellation
