How to Use the Patient Portal

The patient portal gives your patients self-service access to manage their appointments, view invoices, and communicate with your clinic online.

Enabling the Patient Portal

  • Go to Settings → Patient Portal
  • Toggle Enable Patient Portal to ON
  • Configure portal options:
  • - Allow online booking (Yes/No)

    - Allow online payments (requires Paystack setup)

    - Allow messaging (Yes/No)

    - Allow document viewing (Yes/No)

    Patient Registration

    Patients can access the portal in two ways:

    Invitation from Clinic

  • Open a patient record
  • Click Invite to Portal
  • An email is sent with a registration link
  • The patient creates a password and logs in
  • Self-Registration

    If enabled, patients can register at your portal URL:

  • They enter their phone number or email
  • The system matches them to an existing patient record
  • A verification code is sent to confirm identity
  • They create a password
  • What Patients Can Do

    View Appointments

  • See upcoming and past appointments
  • Appointment details (date, time, treatment, dentist)
  • Cancel or request rescheduling (if enabled)
  • Online Booking

  • Browse available time slots
  • Select a dentist and treatment
  • Book directly without calling the clinic
  • Receive confirmation via SMS and email
  • View and Pay Invoices

  • See all invoices and their status
  • Download invoice PDFs
  • Pay online via Paystack (if enabled)
  • View payment history and receipts
  • Message the Clinic

  • Send messages to the clinic team
  • Receive responses in the portal and via notification
  • Attach images or documents
  • View Medical Records

  • Basic personal information
  • Appointment history
  • Prescriptions
  • Treatment plans (if shared by the clinic)
  • Customizing the Portal

    At Settings → Patient Portal → Appearance:

  • Upload your clinic logo
  • Set primary colors to match your brand
  • Add a welcome message for the portal homepage
  • Security

  • Patient portal sessions expire after 30 minutes of inactivity
  • All data is encrypted in transit and at rest
  • Patients can enable 2FA for their portal accounts
  • Access is limited to their own records only
