How to Create Referral Letters

When a patient needs specialist care, MyDentalPractice helps you generate professional referral letters with relevant clinical history.

Creating a Referral

  • Open the patient record
  • Click the Referrals tab
  • Click + New Referral
  • Complete the referral form:
  • Referral Details

  • Referring To — Specialist name and practice
  • Specialty — Oral Surgery, Orthodontics, Endodontics, Periodontics, etc.
  • Urgency — Routine, Urgent, Emergency
  • Reason for Referral — Brief description of why the patient needs specialist care
  • Clinical Findings — Detailed findings relevant to the referral
  • Treatment Performed — What you have done so far
  • Radiographs Included — Attach X-rays from the patient's documents
  • Referral Letter Template

    The system generates a formatted letter including:

  • Your clinic letterhead (name, address, logo)
  • Date of referral
  • Patient demographics (name, age, gender, contact)
  • Relevant medical history (allergies, conditions, medications)
  • Clinical findings and reason for referral
  • Treatment history for the referred condition
  • Attached radiographs and documents
  • Your signature and contact information
  • Sending the Referral

    After generating the letter:

  • Print — PDF for physical delivery
  • Email — Send directly to the specialist's email
  • Share — Generate a secure link the specialist can access
  • Tracking Referrals

    View all referrals at Referrals in the sidebar:

    StatusMeaning
    SentReferral letter sent to specialist
    AcknowledgedSpecialist confirmed receipt
    CompletedPatient has been seen by the specialist
    ReturnedSpecialist sent a report back

    Incoming Referrals

    Track patients referred TO your clinic:

  • Click + Incoming Referral
  • Enter the referring dentist's details
  • Attach the referral letter
  • Link to the patient record
  • Referral Analytics

    At Analytics → Referrals:

  • Total referrals sent by period
  • Referrals by specialty
  • Completion rate
  • Average time from referral to specialist appointment
