Adding Patients
Creating accurate patient records is the foundation of effective practice management. This guide covers how to register new patients in MyDentalPractice.
Quick Add vs Full Registration
MyDentalPractice offers two ways to add patients:
Quick Add
Best for walk-in patients or when you need to book an appointment fast:
Click the + Add Patient button in the top navigation barEnter the minimum required fields: First Name, Last Name, and Phone NumberClick Save — you can complete the full profile laterFull Registration
Best for scheduled new patients:
Navigate to Patients → Add New PatientComplete all sections of the registration form (described below)Click Save Patient to create the recordPersonal Information
First Name and Last Name (required)Date of Birth — Used for age-specific treatment recommendationsGender — Male, Female, or OtherMarital Status — Optional, used for insurance purposesContact Details

Emergency Contact
Contact Name and RelationshipPhone Number — Reached in case of emergencyInsurance Information (Optional)
Insurance Provider — Select from Nigerian HMO providersPolicy Number — The patient's insurance policy numberGroup Number — If applicable for employer-sponsored plansPatient ID Generation
MyDentalPractice automatically generates a unique Patient ID for each record. The format is: [ClinicCode]-[Year]-[Sequential Number]
Example: SMILE-LG-2026-00142
This ID appears on all invoices, prescriptions, and appointment records.
Duplicate Detection
When you enter a phone number or email, the system automatically checks for existing records. If a potential match is found, you will see a warning with the option to view the existing record instead of creating a duplicate.
Tips for Accurate Records
Always verify the phone number — it is the primary identifier for SMSRecord allergies even if the patient says "none" — document that you askedAdd the referring patient or source in the Notes field for marketing trackingUpload a patient photo for easy identification (optional)See also: Document Upload for adding X-rays and files to patient records.
