How to Track Staff Performance

Monitor your team's productivity and patient outcomes to identify strengths, address concerns, and make informed staffing decisions.

Accessing Performance Reports

Navigate to Analytics → Staff Performance (requires Admin or Owner role).

Provider Metrics

For each dentist, view:

Productivity

MetricDescription
Patients SeenTotal patients treated in the period
Appointments CompletedNumber of completed appointments
Utilization Rate% of scheduled time actually filled with appointments
Average Appointment DurationMean time per appointment vs. scheduled duration

Revenue

  • Total revenue generated
  • Revenue per patient visit
  • Revenue per hour worked
  • Treatment mix (which procedures they perform most)
  • Collection rate (billed vs. collected)
  • Patient Satisfaction

  • No-show rate for their appointments
  • Cancellation rate
  • Return rate (patients who come back specifically for this provider)
  • Staff Metrics (Non-Clinical)

    For receptionists and assistants:

  • Check-ins processed
  • Invoices created
  • Calls handled (if tracked)
  • Average patient wait time
  • Comparison View

    Compare performance across team members:

  • Select the date range
  • Choose the metrics to compare
  • View side-by-side bar charts
  • Identify top performers and areas for coaching
  • Performance Dashboard

    Each staff member can view their own metrics from Profile → My Performance, showing:

  • Their personal stats for the current month
  • Comparison with previous months
  • Goals and targets (if set by the clinic)
  • Setting Goals

    Admins can set performance targets:

  • Go to HR → Goals
  • Click + Set Goal for a team member
  • Select the metric (e.g., "Patients seen per month")
  • Set the target value
  • The system tracks progress automatically
  • Exporting Performance Reports

    Click Export to download performance reports for:

  • Performance reviews
  • Bonus calculations
  • Staffing decisions
  • Compliance documentation
