How to Manage the Patient Queue

The queue system helps manage your reception area by tracking which patients are waiting, how long they have been waiting, and who should be seen next.

Accessing the Queue

Click Queue in the sidebar. The queue view shows all patients currently in your clinic.

Adding Patients to the Queue

Automatic Check-In

When a patient with a scheduled appointment arrives:

  • The receptionist opens the appointment
  • Clicks Check In
  • The patient is automatically added to the queue with their appointment details
  • Walk-In Check-In

    For patients without appointments:

  • Click + Add to Queue at the top of the queue view
  • Search for the patient (or create a new record)
  • Select the reason for visit
  • The patient is added to the queue
  • Queue Display

    The queue shows, for each patient:

    Wait TimeHow long they have been waiting
    ReasonAppointment type or walk-in reason
    DentistAssigned provider
    StatusWaiting, In Treatment, Completed

    Managing the Queue

    Reordering

    Drag and drop patients to change their position. Use this to prioritize:

  • Emergency cases
  • Patients with scheduled appointments over walk-ins
  • Elderly or disabled patients
  • Calling a Patient

    Click Call next to a patient to:

  • Notify the patient (display board updates if you have one)
  • Change their status to "Called"
  • Start the appointment timer
  • Removing from Queue

    Click Remove to take a patient out of the queue:

  • Left without being seen
  • Transferred to another branch
  • Cancelled their visit
  • Wait Time Display

    The queue calculates and displays:

  • Individual wait time per patient
  • Average wait time for the day
  • Estimated wait time for new arrivals
  • Queue Analytics

    View queue performance at Analytics → Queue:

  • Average wait time by day of week
  • Peak hours for walk-ins
  • Patient satisfaction correlation with wait times
