Calendar Sync

Keep your personal calendar in sync with your MyDentalPractice schedule. This feature supports Google Calendar, Microsoft Outlook, and Apple Calendar via standard iCal feeds.

Setting Up Calendar Sync

Google Calendar

  • Go to Settings → Integrations → Calendar Sync
  • Click Connect Google Calendar
  • Sign in with your Google account
  • Grant MyDentalPractice permission to create and manage events
  • Select which direction to sync:
  • - One-way (MyDentalPractice → Google) — Appointments appear in Google Calendar as read-only events

    - Two-way — Changes in either calendar are reflected in both (Pro and Enterprise plans)

  • Click Save
  • Microsoft Outlook

  • Go to Settings → Integrations → Calendar Sync
  • Click Connect Outlook
  • Sign in with your Microsoft account
  • Follow the authorization prompts
  • Select sync direction and click Save
  • Apple Calendar (iCal)

  • Go to Settings → Integrations → Calendar Sync
  • Click Get iCal Link
  • Copy the generated URL
  • In Apple Calendar, go to File → New Calendar Subscription
  • Paste the URL and click Subscribe
  • Set the refresh interval (every 15 minutes recommended)
  • Note: Apple Calendar sync is one-way only (MyDentalPractice → Apple Calendar).

    What Gets Synced

Each appointment creates a calendar event with:

  • Title — Patient name and treatment type (e.g., "Adaeze Okafor — Root Canal")
  • Time — Appointment start and end time
  • Location — Your clinic address
  • Description — Appointment notes (if any)
  • For patient privacy, you can configure the event title format:

  • Full Details — Patient name + treatment (default)
  • Name Only — Patient name only
  • Private — Shows as "Busy" with no patient details
  • Configure this at Settings → Integrations → Calendar Sync → Privacy.

    Sync Frequency

    MethodFrequency
    Google CalendarReal-time (within 1-2 minutes)
    OutlookReal-time (within 1-2 minutes)
iCal FeedDepends on subscriber (typically 15-60 minutes)

    Troubleshooting

  • Events not appearing — Check that the sync is enabled and the correct calendar is selected
  • Duplicate events — Ensure you have not subscribed to the iCal feed while also using Google/Outlook sync
  • Stale data in iCal — Apple Calendar caches aggressively; set refresh to 15 minutes minimum
  • Permission errors — Re-authorize the connection from Settings → Integrations
  • Multi-Dentist Sync

Each dentist can sync their own schedule independently. Clinic owners can set up a shared calendar that shows all dentists' appointments:

  • Go to Settings → Integrations → Calendar Sync
  • Click Shared Calendar Feed
  • Select which dentists to include
  • Share the generated iCal link with the appropriate team members
  • For general scheduling, see Booking Appointments.
